HOSTEL POLICY

This policy document is intended to inform existing and prospective applicants seeking hostel accommodation at Zenith College to be aware of our rules and regulations. It will also assist applicants to make informed decisions on why Zenith Hostel should be the first choice to make in seeking quality hostel care in Accra.  
Purpose

  • To provide high standard accommodation for our students as near to the College as possible to assist them maximize input into their study times
  • To inculcate the sense of responsibility and independence among students who choose to stay in our hostel.
  • To reduce the problem associated with tenancy issues in Accra and its impact on foreign and local students who may be first time city dwellers.

Hostel Admission policy

Due to limited capacity, the College is not obliged to provide hostel facility to all students desirous for such assistance. The following procedures should be followed by all applicants desirous for hostel accommodation:

  1. Applicants will have to complete an application form to be collected from the Hostel Manager.
  2. Completed application forms should be submitted back to the Hostel Manager with a bank draft of ¢2,500,000 being refundable security. This amount will be set against the hostel fees for the Semester. Incomplete application in any respect will summarily be rejected.
  3. After due scrutiny, list of qualified applicants will be compiled based on merit. Preference will be given to students outside the vicinity of the College, in particular, foreign students and others leaving in other parts of Ghana.
  4. The ‘first in first served’ system of selection would be used.
  5. A short waiting list shall be prepared in strict order of merit and on ‘first come first served’ basis

Hostel Fees policy

  1. Hostel fees can be paid in cash or by draft made payable to Zenith College.
  2. All earlier payments shall be set against the Semester Hostel fees.
  3. All Hostel fees shall fall due immediately the application is approved and a room allocated.
  4. Students will have to give one Semester notice of withdrawal from the hostel or pay a semester fee in lieu of notice. However, in certain special circumstances an application for exemption shall be considered.

Refunds:

  1. An application for refund of hostel fees must be made in writing to the Hostel Manager explaining why a student shall have to withdraw from the hostel.
  2. Where refunds are accepted, it shall be paid in full less 15% of total accrued value.
  3. Students are entitled to 50% refund of fees paid when they take up the residential offer within the first and the fourth week in residence.
  4. No refunds are allowed after more than four weeks stay in residence.
  5. In exceptional cases consideration is available on case by case basis.

Property Damaged Policy

Any willful damage to property at the hostel shall be charged to those responsible. Furthermore, if it is established that there is a persistent act by an individual or group of students with the intention of causing damage to facilities at the hostel, such students shall be advised in their own interest to look for another accommodation.

Visitors

  • All visitors must firstly sign in by the Hostel Warden and must be entertained at the visitors’ waiting room.
  • Visitors are not allowed to enter rooms of students other than their parents
  • All suspicious characters are to be reported to the Hostel Warden or Hostel Manager immediately.         

Noise making

Students are advised to be mindful of the proximity of the hostel to the main College building. Noise levels are to be confined to the room as much as possible. Nuisance shall not be tolerated. Culprits risk being sanctioned. 

Cleanliness

Students are expected to maintain the highest level of hygiene and cleanliness. Daily inspection of rooms, kitchens, corridors etc shall be enforced. Students neglecting their responsibilities in this regard shall be sanctioned.

Inventory

The Hostel Manager shall take inventory of all burdens brought in by the student. Any new items brought should be reported to the Hostel Manager for recording. Departing students shall equally be vetted.

Stealing cases

Cases involving stealing are treated as criminal. The Police have the direct responsibility in solving such problems. The Law shall therefore take its course.

Smoking

Smoking at the hostel is banned.

Drugs

Banned substances known to be hard drugs are banned from the hostel. Any student caught or implicated in cases of drug peddling shall face instance expulsion from the hostel and cease to be a student of Zenith College.

Notices

Posting of bills and notices is prohibited any where at the hostel unless approved by Hostel Manager.

Security

For security reasons, the gates to the hostel shall remain locked under keys between the hours 11.00pm and 5.00am. Any request to open the gates between these times shall be made in writing and addressed to the Hostel Manager at least 12 hours earlier.  Emergency requests may be considered on merit.

Sharing Rooms by opposite sexes

Students are advised that sharing rooms by opposite sexes is strictly prohibited. Culprits shall be sanctioned.

END OF TERM LEAVING PROCEDURE
Foreign students can remain in the hostel during the holidays at extra cost and their request shall be subject to availability of accommodation.
The following procedures are to be followed by students prior to their departure from the hostel at the end of each semester.
Room inspection

  • Rooms shall be inspected for tidiness.
  • Beds are to be stripped, sheets put out, draws and wardrobe shall

     be checked.

  • Study lamps and light fittings shall be checked.
  • Any damage shall be recorded and signed for by the student.
  • Rooms are to be left in the same state that the students found them when they initially moved in.

Keys

  • All keys should be returned to the Hostel Manager. The keys should be signed for by the Hostel Manager and the student.
  • All keys that have been lost shall be replaced at the expense of the student who has lost them.

Return dates

Returning students are to indicate their date of return and the time. This should be on the arrival sheet for the following semester. Students may also want to discuss with the Hostel Manager, who they would like to share their room with. This may assist hostel staff when the rooming lists are being put together at the beginning of each Semester.
Boarders’ personal items

All personal items are to be removed at the end of each semester. There is limited storage space available and students must realize that their rooms could possibly be used during the semester holiday breaks.
DISCIPLINE
Respect and self- control are important points of behaviour to remember while living at the hostel.
Zenith Hostel shall follow normal rules and the prescribed consequences stated herein. In the event of any serious breach of discipline, the Hostel Manager could require a student to be removed without warning from the hostel and dismissed from the College when the culprit is proved guilty.
